Pursuant to art. 13 of EU Regulation no. 2016/679 (General Regulation on the Protection of Personal Data), the following information is provided.

Data Controller: the Data Controller is the Municipality of Milan with headquarters in Piazza della Scala, 2 – 20121 Milan.

Purpose and legal basis: the data processing is aimed exclusively at the completion and participation in the public forum relating to the preliminary consultation phase of the strategic environmental assessment (SEA) of the proposed implementation urban plan and the preparation of accounting/evaluation reports, pursuant to Legislative Decree. Legislative Decree No. 152/2006 as amended

Personal data are processed in compliance with the conditions established by EU Regulation 2016/679 and in particular:

• from the art. 6 – par. 1 letter e) and by the art. 2 ter of the Legislative Decree. 196/2003 “Code regarding the protection of personal data” for the execution of a task of public interest or connected to the exercise of public powers pursuant to Legislative Decree No. 152/2006 and subsequent amendments and municipal legislation on the matter . 

Types of data processed: 
The personal data collected and processed for the conduct of the public forum electronically on the Microsoft Teams platform are as follows: 

• surname and name
• name of the body/institution/association to which you belong 
• data relating to topics of interest to the participant relating to the object of the SEA procedure, professional category or interests represented, territorial area of ​​origin
• email contact
• connection data: IP address, login, etc.
• data relating to the contents of the participants' interventions

Treatment methods: the processing takes place in compliance with fundamental rights and freedoms and is based on the principles of correctness, lawfulness, transparency and protection of confidentiality. It is also carried out with the aid of electronic instruments consistently with the operations indicated in the art. 4, point 2, and in compliance with the principles set out in art. 5 of EU Regulation 2016/679. The processing does not involve the activation of an automated decision-making process. The audio/video recording of the event will be carried out, which is essential for the collection of contents relating to the interventions and for the preparation of the relevant reporting/evaluation reports. Participants in the Forum must comply with the confidentiality obligations of the data processed as part of the conduct of the public forum in electronic mode and refrain from acquiring and disclosing the audio and/or video information transmitted during the connection.   
The Microsoft Teams platform has its own privacy policy which can be found at this address. The owner is not responsible for the data processing carried out by this website.

Nature of treatment: the provision of data is mandatory and failure to provide it precludes the possibility of participating in the public forum electronically on the Microsoft Teams platform.

Communication and dissemination: the data may be communicated to third parties in the cases provided for by Law 7 August 1990, n. 241 (“New rules regarding administrative proceedings and right of access to administrative documents”) and stored in compliance with the regulations regarding administrative documentation. The data collected will not be disclosed but may be published on the pages of the Municipality of Milan website (Transparent Administration section and/or page dedicated to urban planning) in compliance with the provisions of EU Regulation 2016/679 and national legislation regarding transparency. The audio/video recordings will not be communicated to third parties, except in the event of a request from the police and/or judicial authorities where appropriate, nor will they be subject to publication or dissemination.

Categories of data recipients: the processing is carried out by authorized persons committed to confidentiality and responsible for the related activities in relation to the purposes pursued.

Data retention: the data, including the audio/video recording of the event, will be kept for the time necessary to achieve the purposes for which they were collected as well as to comply with the terms of conservation of administrative documents. 

Data transfer to third countries: the data processed for the aforementioned purposes are not transferred to third countries outside the European Union or the European Economic Area (EEA) or to international organisations.

Rights of interested parties: interested parties can exercise the rights provided for by the art. 15 and following of EU Regulation 2016/679 and in particular the right to access one's personal data, to request rectification or limitation, updating if incomplete or incorrect and cancellation if the conditions exist as well as to oppose the processing by contacting the request to:

Right to complain: Finally, we inform you that the interested parties, if they believe that the processing of personal data relating to them occurs in violation of the provisions of EU Regulation 2016/679 (art. 77) have the right to lodge a complaint with the Guarantor, or to take action in the appropriate judicial offices (art. 79 of the Regulation).
